Job Title : Legal Assistant (Remote)

Job Type : Full-Time Contractor

Workplace : Remote

Schedule : Monday–Friday, 8 : 00 AM – 5 : 00 PM PST

Compensation : USD $1,000 – $1,500 / month (DOE)

About the Job

We are seeking a reliable and detail-driven Receptionist (Remote) to join a fast-growing U.S.-based law firm. In this role, you will be the first point of contact for clients, responsible for handling calls, processing digital faxes, and performing critical administrative support tasks. Success in this position requires consistency, professionalism, and precision in every interaction. You’ll play a vital role in ensuring smooth daily operations while contributing to a team culture that values virtual assistants as equal team members.

Core Responsibilities

  • Answer inbound calls promptly, ensuring clear communication and accurate message delivery.
  • Process and route digital faxes to the correct case files without delay.
  • Perform data entry and maintain records with accuracy and timeliness.
  • Support scheduling needs and ensure calendars remain updated and reliable.
  • Monitor communication channels and escalate issues to the appropriate team members.
  • Uphold client confidentiality and handle sensitive documents with discretion.
  • Maintain consistent availability during Pacific Standard Time work hours.
  • Collaborate with both U.S. and offshore colleagues to support daily workflow.
  • Follow established processes and contribute to system improvements.
  • Provide dependable support that reinforces client confidence and team harmony.

Requirements

Must-Haves for the Role

  • Minimum 2 years of experience in reception, call handling, or administrative support.
  • Strong English communication skills, both spoken and written (C1 or above).
  • Proficiency with email, Excel, and data entry tools.
  • Stable wired internet connection of at least 25 Mbps, plus a reliable backup option.
  • Ability to work a consistent 8-hour schedule aligned to PST.
  • Proven reliability and commitment in prior remote or office-based roles.
  • Demonstrated ability to handle confidential information with professionalism.
  • Nice-to-Haves for the Role

  • Prior legal admin or personal injury law experience.
  • Experience with digital fax software or case management systems.
  • Bilingual Spanish-English skills for client communication.
  • Familiarity with Hubstaff or similar time-tracking tools.
  • Comfort with video introductions and video interviews.
