What You Can Expect

The Office Coordinator is responsible for the facility management of the Zimmer Biomet site in LATAM, which hosts both the local commercial organization The position holder also supports the HR Team with engagement related activities and the administrative and operational running of the center.

How You'll Create Impact

  • Manage the office reception and its team
  • Manage office supplies & service provider / office supplier relationships
  • Liase with landlord Property Manager as required
  • Collaborate with site support functions and other functions to ensure smooth running of the facility
  • Implement and maintain facility related HSE procedures in collaboration with HR / Compliance (e.g. fire drill, covid protocol, SGSST)
  • Coordinate internal and external event preparation and facility related arrangements where required.
  • Coordinate preparation for Corporate VIP / MIS Tours
  • Manage relevant facility documentation
  • Design, implement, and ensure maintenance of relevant admin. trackers
  • Maintain facility floorplan and administrate digital seat booking platform
  • Define, design, implement and ensure maintenance of scheduled facility related solution
  • Manage remote archiving solution for local documentation
  • Operate recording studio in collaboration with Communication, HR, and IT teams
  • Support line managers on facility related tasks and projects as requested
  • Request the vendor compliance with Procurement policy
  • Administer overall vendor related processes such as providing required internal documentation for vendor creation, purchase order management and on-time invoice submission
  • Guarantee the timely invoice submission process for all payments related to facilities, catering, site events and any others assigned by the leadership team
  • Manages the relationship with the cleaning vendor, the repairs vendor, facility vendors, and any relationship necessary for the office function and the HSE vendors.
  • Organize the HSE committee, along with HR guidance

What Makes You Stand Out

  • Organize along with HR validation, engagement, and corporate events such as CSR project, external staff meetings, etc.
  • Participate in and support preparation of Leadership Team meeting Support Site Lead and site support functions with preparation of visual communication material along and validated with Communications and HR when appropriate
  • Support Site Lead with drafting and publication of office newsletter
  • Support Site Lead with preparation of relevant reporting (e.g. center scorecard)
  • Support Site Lead and Talent Acquisition team with organization of employer branding events
  • Draft, maintain and coordinate execution of Site business continuity plan
  • Coordinate with other functions the monthly new joiner onboarding session as required Support HR function and functional leaders with organization of internship program
  • Manage the HSE.
  • Administrate GBS local SharePoint / MS Teams structure / inclusion in the mailing groups
  • Coordinate collection and archiving of legal entity paperwork not administrated by specific functions
  • Manage the screens on site, guarantee the corporate communications, validated with communications and HR when appropriate.
  • According to the corporate policy of communications, and event planning, guarantee the protocols, including the security protocol, to ensure smooth running of the facility.
  • Your Background

  • Bachelor's degree is a minimum
  • Combination of education degree and work experience will be considered
  • 5 yrs. of admin exp preferred
